Answers to common questions and practical hurdles solopreneurs face when setting up and running the Digital Brain template (BrainNode OS).

1. Getting Started and Account Costs

No. The entire Digital Brain template runs 100% smoothly on the Tana Free Tier. You receive free AI credits upon signup. If you want high-volume AI usage without paying $20 per month for Tana Pro, configure Bring Your Own Key (BYOK) with your own OpenAI or Google AI API key at minimal cost.
All data is stored securely in Tana’s cloud infrastructure linked directly to your personal Google account. Neither the community nor the creators can access your personal data unless you explicitly share your workspace. You can export your entire knowledge graph anytime to your computer as JSON or Markdown.
Notion relies on traditional folders and static pages, while Obsidian excels at text linking but lacks native structured fields. Tana combines both worlds: a flexible Knowledge Graph, powerful Supertags, and deep AI integration at every node. If you feel tired of manual folder organizing or complex plugin setups, Tana and BrainNode OS simplify your entire workflow.

2. Capture - Package - Share Workflow

This is the classic hoarding trap. You consume too many external sources (borrowed theory) while neglecting your internal sources (lived experiences, real client work, and personal mistakes). To beat writer’s block, start by using Tana Voice to record one real lesson from your week, then bring in book quotes only as supporting evidence.
An Idea Seed is complete only after it passes validation at the Share Station:
  • Validated: Your shared post gets meaningful feedback, attracts client inquiries, or solves a real problem.
  • Archived: The idea generated no response or proved unviable. Move it to the archive to clear mental space. Never keep idea seeds in limbo forever.
Yes. The Capture - Package - Share system is built for busy solopreneurs. You do not need hours of daily writing:
  • On the go: Open Tana Voice and speak for 2 minutes to record raw materials.
  • On weekends: Spend 45 minutes running AI commands to extract 3 idea seeds and schedule your publication queue for the upcoming week.

3. Technical Operations and Troubleshooting

There are 2 common reasons:
  1. Typo in the supertag name: Make sure you type #source correctly and press Enter so the tag changes color.
  2. Search filter changed: Click the magnifying glass icon on the Intake Hub table to check if the filter is restricted by date or missing the rule tag is #source.
  • Check if your AI account is connected or if you have available AI credits in Tana (navigate to Settings →\rightarrow AI & Credits).
  • Ensure the book title is clear and complete without abbreviations. For multi-edition books, include both the title and subtitle.
  • Note: The Key quote field does not run automatically; click the sparkle icon next to the field once the author name is populated.
  1. Press Ctrl + K (or Cmd + K on macOS).
  2. Type Export workspace and press Enter.
  3. Choose your export format (JSON or Markdown) to download a safe offline backup directly to your local drive.
Tana caches local data in desktop and mobile apps. You can type notes and record voice memos temporarily offline; the moment your connection restores, Tana syncs all changes to the cloud. However, AI assistants and Autofill commands require an active internet connection to contact large language models.
